Bulk Operations

Bulk operations change many services, team members, pets or blocked times in one pass, instead of editing each one, and cancel many appointments at once.

Each bulk tool shows a summary before it applies anything, then a results screen that lists anything it could not change and why. There is no single undo, so review the summary before you confirm.

Bulk update services

Use this for changes such as turning on auto-pay for all your services, or setting the same duration on every service of one type.

  1. Open Services and tick the services you want to change.
  2. Select Bulk Update in the bar that appears. You can also open the settings menu (the gear) and select Bulk Update Services.
  3. Choose the service type, then select Select Services and check the ticked services.
  4. Select Choose Fields, which shows how many services you picked, then tick each setting to change and set its new value.
  5. Select Review Changes and check the summary under Review before applying, including the number of services affected.
  6. Select the Apply to button, which names the number of services, such as Apply to 6 Services.

A progress bar shows the update, then Bulk Update Complete lists the results. The fields are grouped by the service tab they belong to, from Basic Info to Eligibility & Restrictions. Common ones:

To raise prices by a percentage or a fixed amount rather than set one price, use Pricing Assistant.

Tip

Pick the service type first so you work on similar services, such as all grooming services. If you are unsure, try the change on 2 or 3 services first.

Edit many services in a grid

The bulk edit grid shows your services as a spreadsheet, so you can change different values on different services in one pass.

  1. Open Services, open the settings menu (the gear) and select Bulk Edit Grid. It appears on a wide screen, such as a computer.
  2. Use Fields, Filter, Sort and Group by above the grid to find the services and columns you need.
  3. Edit the cells. The bar at the foot of the grid counts your changes.
  4. Select Publish Changes, check the list of services with pending changes, then select the Publish button, which names the number of changes.

Nothing is saved while you edit. Discard All drops every change, and Publish Complete shows which services saved and which failed. A rose dot on a toolbar control means a filter or sort is on, which is often why services seem to be missing.

Bulk update team members

Use this for changes such as updating the capacity of all your groomers, or putting your whole team on the same weekly hours.

  1. Open Team Members and tick the team members you want to change.
  2. Select Bulk Update in the bar that appears. You can also open the settings menu and select Bulk Update Settings.
  3. Tick the settings to change and set their values.
  4. Select Review Changes and check the summary.
  5. Select the Apply Changes to button, which names the number of team members.

Use it to set consistent defaults for new staff, or to adjust everyone's capacity for busy periods. For a new service, add the team members on the service's Team & Resources tab instead: Services They Perform replaces each person's full service list.

Bulk blocked time

Use this for a closure such as "We're closed from 25 Dec to 4 Jan, block everyone", or to mark a training day across all resources. Petboost supports bulk business-wide closures, so you do not need to ask support to create them.

For named Australian public holidays, such as Christmas Day or Boxing Day as individual days, use the Public Holidays page instead. For a continuous multi-day closure, use this wizard.

  1. Open Team Members or Resources and select Bulk Block Time in the actions menu. On Appointments, the same wizard is Bulk Blocked Time in the scheduler's actions menu.
  2. Under Team Members and Resources, choose who to block, or use Select All for a whole-business closure, then select Configure Blocked Time.
  3. For each entry, set the Start Date, End Date, From Time and To Time, and an optional Label (Optional) or one of the Quick labels.
  4. Optional: select Add Another for another separate block in the same run.
  5. Select Review Changes, check the summary, then select the Apply button, which names the number of blocked times and team members or resources.

Petboost adds the blocked time to each selected team member or resource and shows a progress and results summary.

For a Christmas and New Year closure, select all team members and resources, set 25 Dec to 4 Jan with times that cover your working day, and label it "Christmas Closure". For a training day, select the team members attending, add an entry for the date, and label it "Professional Development".

Review and remove blocked time

  • Blocked time appears on the calendar and on each team member's Leaves & Restrictions tab or each resource's Blocked Times tab
  • The wizard adds a separate block to each team member or resource, so remove an unwanted block from that one team member or resource. It won't affect the others
  • Existing appointments inside the closure are not cancelled automatically. Check the calendar after applying

Bulk edit pet details

Use this for clean-ups such as adding missing weights for all your pets, or fixing breed data across your customer base.

  1. Open Customers & Pets, open the settings menu (the gear) and select Bulk Edit Pet Details.
  2. Optional: use the filters to focus on Missing Weight, Missing Birthday, Missing Breed or Missing Desexed Status.
  3. Edit the cells in the grid.
  4. Select Publish Changes, check the summary of changes per pet, then select the Update button, which names the number of pets.

This option is available to users with the appropriate role permissions. The grid shows every pet, and you can edit these columns directly:

The Owner column is shown for reference but is read-only. A progress indicator shows the update, then Update Complete. Discard All drops your changes before you publish.

Cancel many appointments at once

Cancel several bookings from the scheduler, from a recurring series, or from one customer's profile. There is no Superadmin bulk-cancel screen for business owners.

Select several cards on the scheduler

  1. Open Appointments.
  2. Select the appointment cards you want to change.
  3. Choose Cancel or No-show.
  4. Confirm each prompt.

The bulk menu also includes Accept, Decline and Check in. After the run finishes, Petboost shows Bulk action results.

Cancel a date range on a recurring series

  1. Open one appointment in the series from Appointments.
  2. Choose Cancel.
  3. Select Skip these dates to drop a range, or End series (all future) to stop every future date.
  4. Confirm.

Cancel one customer's future appointments

  1. Open the customer or pet profile from Customers & Pets.
  2. Open Manage Pet or Manage Owner.
  3. Select Cancel Future Appointments.
  4. Tick the bookings to cancel, or use Select all and the weekday buttons. The list shows the next 12 months.
  5. Choose whether to notify the customer.
  6. Select Review cancellation, then Cancel selected bookings.

If you are on Mission Control and the owner has two or more upcoming bookings, open the appointment card menu on Pets, Workflow, Roster, Photos, or Attention Required, then select Cancel Future Appointments. That list is for every pet on the owner account.

In-progress, completed, paid, and class bookings stay. Cancellation fees are not charged. Package credits on these bookings are kept. Recurring series end from the next booking, including visits after the 12-month list. If your plan cannot send booking messages, the booking is cancelled silently.

The profile menu Bulk Operations for [name] > Bulk Cancel Appointments is Petboost staff only. Business owners do not see it. See Cancel a customer's future appointments.

Before and after a bulk change

Before a bulk change, know what you're changing and why, test with 2 or 3 items first if you're unsure, check the summary before confirming, and make the change during a quiet period. Afterwards, check a sample of items, deal with any that could not be updated, and let your team know about changes that affect them.

Common questions

Can I undo a bulk update?

There's no single undo button. You would need to perform another bulk update to revert the changes, so review carefully before confirming.

What if some items fail to update?

The results screen shows which items succeeded and which failed. Failed items typically have a conflict, such as an appointment already booked that prevents a schedule change. Deal with these individually.

Can I save bulk update presets?

No. Filter and select the same group of items using the same criteria each time.

Will customers be notified of bulk service changes?

No. Bulk updates to services don't notify customers. Only appointment-level changes, like bulk cancellation, trigger notifications.
