Creating Your First Course Template

A course template is the reusable blueprint for a multi-lesson group class, such as puppy school, scentwork or obedience. You create it from Courses, then publish dated courses from it.

Create a course template from Courses, not from Services. The template creates the lesson service, so do not add a Regular or Lesson service by hand for the group class. Your team enrols pets from Courses, not from the Appointments New Appointment form. Setting up a first template takes 5 to 10 minutes.

Before you start, you need at least one team member to teach the course and at least one resource where it is held.

Add a team member or a resource

Skip this if you already have both.

  1. To add an instructor, open Team Members, select Add New, then New Team Member.
  2. To add a place to hold the class, open Resources, select Add New, then New Resource.

Create the course template

Do not start from Services, Add New, New Service. Everything starts from Courses.

  1. Open Courses, select New, then New Course Template.
  2. On Basic Information, enter the Course Name, choose the Service Category, and set the Course Price and Session Duration. Description is optional. Select Next.
  3. On Course Structure, set the Maximum Capacity, choose how often the course repeats, and set the Number of Occurrences. Select Next.
  4. On Booking & Team, choose whether to Enable Self-Service Booking, and select the Team Members who can deliver the course.
  5. Select Create Course Template.

To start from an existing template, select Clone from another template on Basic Information.

Change the class size and the lessons

Refine a template at any time from its own page.

  1. Open Courses, select Manage on the course template, then Manage Template.
  2. Choose Course Structure.
  3. Set the Maximum Capacity, the Recurrence Pattern and the Number of Occurrences, and check the Course Preview.
  4. Optional: select Edit session titles and give each session a title for booking confirmations and the course schedule.
  5. Select Publish Changes, tick the box in Before You Publish, then select Publish Changes.

The template's page has the tabs Basic Info, Pricing & Payments, Duration & Timing, Course Structure, Lesson Details, Team Members, Booking Settings, Fields & Forms, Notifications, Automatic Actions, Policies & Paperwork and Who Can Book. Age and breed requirements go on Who Can Book, and pricing on Pricing & Payments.

Edit the template's details

  1. Open Courses, select Manage on the course template, then Manage Template.
  2. Choose Basic Info.
  3. Under Basic Information, edit the Course Name, Service Category or Description.
  4. Optional: under Course Features, enter a Value Feature Label, and add Key Features, selecting Add Feature for each one.
  5. Select Publish Changes, tick the box in Before You Publish, then select Publish Changes.

Archive a template

Course templates are archived, never deleted.

  1. Open Courses, select Manage on the course template, then Manage Template.
  2. Select Archive Template and confirm.
  3. To bring it back later, select Unarchive Template.

Set the room's capacity for a group

For a group class, the room you hold it in has to take the whole group at once.

  1. Open Resources and select Manage on your training resource.
  2. Choose Capacity.
  3. Under Capacity Configuration, set Pets at a Time to at least your class size, such as 6.
  4. Select Publish Changes, tick the box in Before You Publish, then select Publish Changes.

The course's Maximum Capacity is what limits enrolment: once that many pets are enrolled, the course is full. Pets at a Time is how many pets the room can have in it at the same moment, so set both to suit the class.

Publish your first course

  1. Open Courses, select New, then Publish New Course.
  2. On Course Setup, choose your new Course Template, the Team Member who teaches this course, and the Location, then select Next.
  3. On Scheduling, set the Start Date and Start Time. Petboost generates every lesson date from the template's recurrence pattern.
  4. Select Next, check the schedule on Review & Publish, then select Publish New Course.

Enrol pets

  1. Open Courses, select New, then Enrol pet(s).
  2. Under Select Owner & Pets, search for the owner by name, email or phone, and choose the pets.
  3. Under Course, choose from the courses with places left.
  4. Choose whether to notify the customer, then select Enrol Now.

Troubleshooting

I can't find Courses in the sidebar

Courses is in the sidebar under What you sell. Once a course is on the calendar, it moves up beside Appointments. If it is still missing, contact support.

Capacity warnings

A Capacity Problem warning on the lesson service's Team & Resources tab means a team member or resource has fewer places than the service needs. Insufficient Capacity on the enrolment form means the course has fewer places left than the pets you selected: choose fewer pets or another course, or raise the template's Maximum Capacity.

The template isn't appearing when you publish

Check the template was created from Courses with New, then New Course Template, that it is not archived, and that its required fields are complete.

A pet can't be enrolled

Check that the pet meets the age and breed requirements on the template's Who Can Book tab, that the course still has places, and that it has not already started.
