Financial Tab

The Financial tab in Reporting & Intelligence shows revenue for the period you choose, broken down by source, with payment status, package revenue, refunds, the transaction summary and revenue forecasting.

Package revenue on Financial is cash collected at purchase. Redeemed package visits show as $0 on Services, Team, Appointments, Day View and Week View.

Review a period's revenue

Do this to see how the money for a period came in.

  1. Open Reporting & Intelligence and choose Financial.
  2. Choose the period in the date range picker at the top of the page.
  3. Read Key Metrics, then the Revenue Trend and Revenue Breakdown charts.

Key metrics

Revenue Trend

An area chart of daily revenue. It supports comparison overlays (dashed grey) and forecast projections (dashed violet) when they are switched on. Dotted vertical lines with background tints separate the comparison and forecast periods.

Revenue Breakdown

An interactive donut chart that splits revenue into four sources:

  • Appointments (violet): revenue from individual appointment services
  • Packages (cyan): cash collected at package purchase
  • Sales (green): revenue from other sales
  • Memberships (amber): membership payments collected in the period

Hovering over a segment highlights it and fades the others. The centre shows total revenue, and a legend below lists each source with its total. With a team or service filter on, the donut shows appointments only, and the package, sale and membership rows in Financial Summary carry an All team · all services badge because filters do not apply to them.

Insight cards

The Financial tab can generate up to eight insight cards. Each card leads with its finding, and How is this calculated? on the card shows the name used here and the working behind it:

  • Revenue Health: analyses revenue growth alongside your completion rate, to assess whether your business is growing sustainably.
  • Revenue Per Day: your average revenue per working day, excluding non-working days, which gives a truer picture of daily earning power than an average across every calendar day.
  • Payment Success: the ratio of successful to declined payments, and the estimated revenue impact of the declines. When there are declined payments, it includes Manage Payments, which opens the outstanding payments dialog (see Chase outstanding payments).
  • Package Revenue: what percentage of your revenue comes from packages, compared with retention benchmarks. It includes a Manage Packages action.
  • Cash Flow Preview: your revenue mix between immediate payments (appointments and sales) and deferred revenue (packages), to show cash flow timing. Its Manage Packages action opens Packages.
  • Refund Rate: refunds as a percentage of total revenue, with context on whether the rate is within normal bounds.
  • Sale Revenue: revenue from product sales (not appointments or packages) and its share of total revenue.
  • Cancellation Fee Net: when cancellation fees and refunds were both recorded, the net position: fees collected minus refunds issued.

Run a transaction summary

Do this to list the money collected over a date range, with the estimated fees. The same Transaction Summary section is on Overview, Day View and Week View.

  1. Open Reporting & Intelligence and choose Financial.
  2. Under Transaction Summary, select Transaction Summary. Once a summary has run, the button reads New Summary.
  3. Choose a period under Quick Select, or set the Date Range. A summary covers at most 365 days.
  4. Tick the box to confirm you understand the summary is a reference only.
  5. Select Run Transaction Summary.

The summary lists collected money for the range: appointments, retail, package purchases and membership charges. Each calendar day in the range has its own total and payment mix (card reader, payment link, cash, other EFTPOS, card on file), with an estimated split of Stripe processing fees, Petboost booking fees and SMS fees. Export it with CSV or PDF.

Those fee figures come from Petboost appointment records, not from Stripe payouts, so they will not match a bank deposit.

Get a statement for your accountant

Do this when you need a statement for a month, a quarter or a financial year. Do not use the Financial tab as the tax document.

  1. Open Billing and choose Invoices & Payment.
  2. Switch the view to EOFY, or to Monthly or Quarterly.
  3. Select the period to expand it.
  4. Select the button that reads Download, then the period, then Statement.

Match a bank deposit

Do this when you need the figures behind one deposit into your bank.

  1. Open Stripe Payouts.
  2. Under Payout History, open the payout that matches the arrival date.
  3. Read Card sales, Stripe processing fees, Petboost booking fees and Net transferred.

Petboost is not accounting software. Reporting figures and the Billing statement cover only payments recorded in Petboost. Actual earnings can vary for any payments collected outside Petboost, such as cash, bank transfer or another payment machine.

Financial Summary

A detailed line-item breakdown:

  • Appointment Revenue
  • Package Revenue
  • Sale Revenue
  • Membership Revenue
  • Cancellation Fees, separated by a divider line
  • Refunds, shown as a negative amount with a red badge

Payment Status

Horizontal progress bars show the distribution of payment outcomes:

  • Successful: payments that processed correctly (green bar and badge)
  • Declined: payments that failed (red bar and badge)

Each shows its count and its percentage of the total. This section appears only when payment status data is available.

Chase outstanding payments

Do this when the payment success insight card reports declined payments.

  1. Open Reporting & Intelligence and choose Financial.
  2. On the insight card that gives your payment success rate, select Manage Payments.
  3. Work through the payments in the dialog that opens.

The dialog lists appointments that ended in the last six months without being paid, including declined payments, plus quick sales and package purchases still awaiting payment. It groups them into three sections:

  • Card on File (green header): appointments where the customer has a saved payment method. These can be charged directly.
  • No Card on File (red header): appointments where the customer has no saved card. These need manual follow-up.
  • Sales & Packages Awaiting Payment (red header): quick sales and package purchases sent as a payment link the customer has not paid, and package purchases by bank transfer not yet marked as paid.

Each appointment card shows the pet owner name, pet name or names, appointment date and time, service details and the amount owed. Select an appointment card to open Quick Actions, with individual actions such as charge, reschedule and cancel.

Each sale or package card shows the customer, what was sold, the payment method, the date the payment was requested and the amount. To act on one, select Actions on the card:

  • For a quick sale payment link: Resend SMS, Copy link, View payment link or Cancel request. Resend SMS shows when the customer has a mobile number. It opens your SMS app with the link ready to send, so no SMS credit is used.
  • For a package payment link: Copy link, View payment link or Cancel request.
  • For a package bank transfer: Resend request, Mark as paid or Cancel request.

The list covers requests from the last 365 days. When there are no outstanding payments, the dialog shows All clear.

Charge several cards at once

Do this to charge every appointment in Card on File in one go. It needs the Payments feature: without it, Bulk Charge Card on File shows Unlock Payments instead.

  1. Open Manage Payments from the payment success insight card on Financial.
  2. Under Bulk Charge Card on File, switch on Bulk Payment Mode.
  3. Tick the appointments you want, or select Select All. The total of the selection shows beside Bulk Payment Mode.
  4. Select the charge button, which counts the cards, such as Charge 3 Cards. To use another method, select Use a different payment method first.
  5. Watch the progress dialog, then read the success and failure breakdown in the results.

Bulk charging covers appointments only. Sales & Packages Awaiting Payment is hidden while Bulk Payment Mode is on.

Revenue Forecast deep dive

Three deep-dive cards sit at the bottom of the Financial tab: Revenue Forecast, Forward Forecast and Capacity & Utilisation. Revenue Forecast analyses your historical performance to project what your revenue should look like for the current period. It:

  1. Takes the three periods of equal length immediately before your selected date range.
  2. Averages revenue per day across those three periods.
  3. Computes a per-day forecast with a minimum to maximum confidence band (the range between the lowest and highest historical period).
  4. Compares actual performance against the forecast.

It also reads your diary, so the confirmed bookings in the period count towards the forecast.

Run a revenue forecast

  1. Open Reporting & Intelligence and choose Financial.
  2. At the bottom of the tab, select Deep Dive on Revenue Forecast.
  3. Select Generate Forecast.
  4. In Generate Revenue Forecast, confirm the Start date and End date. The dialog notes how many days of history it will analyse.
  5. Select Crunch the Numbers, then wait for the forecast to load.

Metrics in the deep dive

Confirmed in Diary and Expected Additional appear only when the diary has something to add.

Forecast vs actual chart

A composed chart showing:

  • Dashed green line: forecast revenue (the average of the three prior periods)
  • Purple line: actual revenue
  • Shaded green area: the confidence band, the minimum to maximum range across the three historical periods

Hover over any point for a tooltip with the date, the forecast amount and the actual amount.

Insight cards in the deep dive

The Revenue Forecast deep dive generates up to four insight cards, each with a calculation explainer:

  • Variance insight: whether you are ahead of or behind forecast, with the dollar amount and percentage, and advice for either case. The tone is positive when ahead and a warning when behind.
  • Pace indicator: how many days into the period you are and what you are on track to earn at the current daily rate. It appears only when the period is partly complete.
  • Forecast accuracy: the average daily error between forecast and actual revenue across completed days, as a dollar amount, to show how reliable the forecast is for your business.
  • Appointment vs. revenue pace: flags when appointment pace and revenue pace are out of step, for example more appointments but lower revenue per booking (a value shift), or fewer appointments at a higher value (a premium shift).

Period context, saved results and email

If a Look Back comparison or a Look Ahead forecast is on in Compare & Forecast, a banner notes that this deep dive uses its own independent historical analysis and is not affected by it. Results persist across tab switches, so you only re-run after changing the date range. The deep dive card includes an email button that sends a formatted summary of the forecast analysis, added to the standard analytics summary.
