Reporting: settling the day, the fees, and who is overdue

Day View splits a day's takings by how each payment arrived, so the drawer and the screen agree. Matching a month to the bank is a different job, and it uses a different number.

Somebody counts the drawer against the screen at close, and the two only agree if the screen splits the takings the way the money actually arrived. Matching a month to the bank is a different job again, and it uses a different number.

Settle the day

Day View on Reporting & Intelligence shows one day's takings, split the way the money arrived.

  1. Open Reporting & Intelligence and choose Day View.
  2. Step the date to the day you are settling with the arrows beside it.
  3. Set the toggle to Collected, then read Payment Methods against the drawer and the card machine.

Expected is what the day was worth, Collected is what has been taken, and Outstanding is what you chase before you lock up. Payment Methods underneath splits Collected by how each payment arrived, so the Cash line settles the drawer and Other EFTPOS settles the machine that is not Stripe.

Multi-service: the day's total hides which line earned it. The Services tab and its category breakdown are the split to read, because one strong line can carry two weak ones for months.

Trap

That split only exists on Collected. Switch the toggle to Earned and the card goes with it, because earned money has not been paid yet and carries no payment method.

What is left after the fees

Transaction Summary runs over a range you pick. It sits on the Financial tab, and on Overview, Day View and Week View as well.

  1. Open Reporting & Intelligence and choose Financial.
  2. Select Transaction Summary, or New Summary if a summary is already showing.
  3. Pick the date range, tick the acknowledgement, then select Run Transaction Summary.
  4. Read Fee Breakdown (Estimated) down to Net Revenue (est.).

It adds up the payments Petboost recorded, takes the fees off a line at a time, and leaves Net Revenue (est.). Stripe and Petboost charge separately, so the card keeps them apart and never adds them into one rate. Your own rates are only right on your own account, which is where to read them.

Trap

These figures are Petboost's record of the payments, not Stripe's record of the deposit, and the card says so in its own small print. Money lands on Stripe's schedule, so Friday's takings and Friday's deposit are never the same set of payments.

Who has stopped coming

New Customers for the period is a card at the top of the Customers tab. Who has quietly stopped is further down, under Customer Performance.

  1. Open Reporting & Intelligence and choose Customers.
  2. On Customer Performance, select Analyse.
  3. Select Run Performance Analysis.
  4. Select View At Risk, which carries the count, and read At Risk Customers, longest overdue first.
  5. Optional: to take the list with you, select CSV or PDF.

It learns each client's own gap between visits, works out when the next one was due, and lists the ones already past it, longest overdue first. The download icon in the page header exports the current tab as CSV.

Tip

A cadence needs two visits inside the range you analysed, so a client with one visit in that window never appears. Widen the range before you decide nobody is overdue.
