This guide covers selling a package to a customer and spending its credits on bookings. A customer can also buy a package themselves on your booking page, when the package is set to self-service.
Sell a package to a customer
Your team can sell a package in person or over the phone, from the customer's profile.
- Open Customers & Pets and select Manage on one of the customer's pets.
- Open the Wallet tab, then Packages, and select New. With no packages yet, the button reads Purchase Package.
- Under Select Package, choose the package.
- Choose the Payment Method: the card on file, shown by its brand, Card Reader, Secure Payment Link, Bank Transfer, Cash, Complimentary (no charge) or Other EFTPOS.
- Select the purchase button, such as Purchase on Card Reader or Purchase with Cash, then Confirm & Purchase in the confirmation.
Credits paid at the counter are on the account straight away. A purchase by Secure Payment Link or Bank Transfer shows Awaiting Payment on the package card until it is paid, and its credits cannot be spent until then. Purchase Package is also under Quick Actions in the sidebar, and the booking form shows a Package button beside the first pet when the customer has no credits left.
When the customer buys online
When a package is set to self-service, the customer can buy it from your booking page at any time and pay by card, and the credits appear on their account as soon as the payment goes through. They can buy a 10-pack at 2am and book their first appointment straight away.
Spend a credit while you book
When the customer has credits for the service, the booking form offers them beside the pet.
- Open Appointments, select New, then Appointment.
- Choose the pet and a service the package covers.
- Open the purple Package Credit Available badge beside Services for the pet.
- Select Redeem on the package.
- Finish the booking.
The badge's list shows Available Package Credits:, how many are left, the value of each credit (per use) and the remaining value of the rest. Once redeemed, the service reads Selected and the credit pays for it. Petboost only offers credits for a service the package covers, so a dog walking pack cannot pay for a groom.
A booking in a recurring series cannot use a credit when you create it. The badge is disabled for a series; redeem the credits once the series is set up.
Spend a credit on a booking already made
A booking made before the customer bought the package can still take a credit.
- Open the booking from Appointments.
- On the Appointment tab, find Package credits available and select Use Credit.
- In Use Package Credit?, check what will change, then select Use Package Credit.
To spend credits on several bookings at once, open the customer's Packages tab and select the Magic Apply button, which counts the credits it can place. It covers future bookings and past ones whose invoice is unpaid.
When you take payment on a booking a credit could cover
If you go to take payment on a booking that a package credit could pay for, Petboost stops to ask. Package credit available offers Convert to package credit, marked Recommended, beside the payment you chose. Select Redeem pack credit to use the credit, or the button for your payment method, such as Charge card anyway, to take the payment instead.
Troubleshooting
The package does not appear while booking
Check that:
- The service is one the package covers. The service must match exactly
- The customer has credits left
- The purchase is paid, not Awaiting Payment
- The booking is not part of a recurring series
The customer cannot see the package online
Check that:
- Self-Service Purchase is on in the package's Settings
- The package is not archived
- The customer's account has at least as many pets as the package's Minimum pets, if it has one
A credit was not used on a booking
Check that:
- The service is an exact match for the package
- The credit was redeemed on the booking, not skipped when payment was taken
The customer wants a refund for an unused package
- Open Customers & Pets and select Manage on one of the customer's pets.
- Open the Wallet tab, then Packages.
- On the package card, select Refund.
- In Refund Package, enter the Refund amount, choose Keep remaining or Remove remaining credits, and add a reason if you want one.
- Select Confirm Refund.
A card payment is refunded through Stripe to the original payment method. A cash or bank transfer purchase only updates the credits, and you return the money yourself.
Multi-pet package sharing
A package balance is held on the pet owner's account. For eligible pets on that account:
- Sell the package to the customer's account
- Book the eligible pet
- Redeem the credit for a service the package covers
- The package history shows which pet used each credit
For example, the Johnson family has Max and Luna. They buy a 10-pack of daycare. Both dogs can use it, and each credit is recorded against the dog that used it.
