Payments, pricing and profit

Packages: sell one, spend the credits, fix a balance

A package balance is held on the owner's account and stamped with the location that sold it. Those two facts settle most package questions.

Prepaid credits raise the same handful of questions. They will not go onto the booking that is already made, the two dog pass looks like it went on one dog, and a balance carried across from an old system says one when it should say nine.

  1. Open Customers & Pets and select Manage on one of the household's pets.
  2. Open the Wallet tab, then Packages, and select New.
  3. Under Select Package, choose the pack, then choose the Payment Method.
  4. Select the purchase button, such as Purchase on Card Reader, or Send by SMS for a link, then confirm.

Payment Method is the fork. Card Reader, Cash and Other EFTPOS finish at the counter and the credits are on the account before the customer leaves, while Complimentary (no charge) grants them without taking any money at all. Secure Payment Link opens a second question, Deliver Link By, and only SMS asks Petboost to text it. Email and Copy Link build the same link for you to send yourself, with no SMS credit spent.

Trap

A pack paid by link or by bank transfer reads Awaiting Payment on the card until the money lands, and a pack that is still awaiting payment has no credits to spend.

Spend a credit while you book, or afterwards

  1. To spend a credit on a new booking, open Appointments, select New, then Appointment.
  2. Choose the pet and its service, open the purple Package Credit Available badge beside Services for, and select Redeem.
  3. To spend credits on bookings already made, open the household's Packages tab and select the Magic Apply button, which counts the credits it can place.
  4. Tick the bookings you want, then select Magic Apply under the list.

The purple Package Credit Available badge sits beside Services for each pet, and both dogs read the same figure, because a pack is held on the owner's account rather than on a dog. Magic Apply Credits, on the Packages tab, is the one for bookings that already exist: it walks them in date order and puts a credit on each one the pack covers, a visit that has already happened included, so long as its invoice is unpaid. Anything already paid or cancelled is out of reach, which is the usual reason a credit will not go on.

Dog daycare: the pass is the product rather than a discount scheme. Ten days sit on the account and are spent as the dog comes in, which is also what takes deposits off the casual days. Daycare and grooming: a pack bought for daycare days will not pay for a groom unless the groom is one of the services inside the pack, so check that before you sell it as a bundle.

Trap

A booking inside a recurring series cannot carry a credit. Applying one detaches that date from the series and leaves it standing on its own.

Check

A credit only appears where the pack lives. Each location is its own Petboost account, so a pass sold at one site is not offered at another, even though the customer and the dog are the same.

Fix a balance, and read the history back

  1. Open Customers & Pets and select Manage on one of the household's pets.
  2. Open the Wallet tab, then Packages.
  3. On the pack's card, select View Transaction History (History on a wide screen) and count the redemptions.
  4. Select Adjust Balance, set Remaining credits and fill in Reason (required).
  5. Tick the confirmation, then select Update Balance.

A balance that came across from an old system can be wrong, and the stamps will not give it away, because the card draws them from the numbers rather than from the visits. View Transaction History is where it shows: a pack with nine visits behind it has nine redemptions in the log, and this one has none. Adjust Balance then sets what is left rather than adding or subtracting, which is why the panel puts the current figure beside the new one and shows the difference in brackets, and neither a charge nor a refund follows. Reason is required, and it goes into the history with the change, so the next person can see why the number moved.

Check

Package credits do not expire, so the warnings are about running out rather than running late. The badge turns amber at two credits with Low Package Balance, then Last Credit, then red No Credits Left, and the customer gets Top up this pack in their own app.
