Rounds & Tasks lists every pet in house for the day, at each round, with the team form to fill for it, and the day's tasks beside them. Your team works through it on a tablet or phone instead of a paper pen sheet.
A round is a time of day your team goes round every pet, such as Breakfast at 7:30 am. A task is something to do that is not a question on a form, such as a nature walk bought as an extra, a bath before going home, or a call to the owner.
Rounds & Tasks shows in the menu, under Mission Control, when your business sells stays or has an active team form due Every day or When needed. It has three tabs: Rounds, Tasks and Set-up.
Set up your rounds
Set your rounds once, and every team form that uses them is due at the same times. A change to a round's time, such as a later dinner in winter, is one edit.
- Open Rounds & Tasks and choose the Set-up tab.
- If you have no rounds yet, the tab starts with four: Morning, Midday, Afternoon and Evening. Rename them to the words your team uses, such as Breakfast and Dinner, and delete any you do not run.
- For each round, set:
- The name and, optionally, a clock time
- Which animals it is for: All animals, Dogs, Cats or Other animals
- Which days of a stay it runs on: Check-in day, Full days and Check-out day
- Optional: Services, to run it only on bookings for those services
- To add a round, select Add round. A business can have up to 12.
- Select Save rounds.
Only owners and admins can change the set-up.
Put a form on the rounds
An Every day team form either uses the business rounds or keeps its own times each day. Forms created before you set up rounds keep their own times until you change them.
To switch a form onto the rounds from Rounds & Tasks:
- On the Set-up tab, find the form under Forms on the rounds.
- Switch on Uses business rounds.
To switch it from the form itself:
- Open the form from Fields & Forms and choose the Settings tab.
- Under Times each day, choose Use the business rounds.
- Select Publish Changes.
A form on the business rounds drops its own times. If you switch it back to This form's own times, add the times again.
Tell Rounds & Tasks what each question means
The alerts on the rounds read a question by what it is used for, not by its wording. To set it:
- Open the team form on Builder and select a question.
- Under Used for, choose what the answer means.
| Used for | Question types | What Rounds & Tasks does with it |
|---|---|---|
| Feeding: how much they ate | Dropdown, Scale | Counts the hours from the first of the meals not eaten in a row, and clears once a meal is eaten. The last two answers on a dropdown, or the first two on a scale, count as not eaten. |
| Medication: dose given or missed | Dropdown, Scale | The last answer on a dropdown, or the first on a scale, counts as a missed dose. |
| Health check: needs attention or not | Dropdown, Scale | An answer of Requires attention puts the pet on the attention list. The question needs an option with exactly those words. |
| Weight | Number | Marks the answer as the pet's weight. |
| Highlight of the day | Text, Textarea | Shows on the round with the feeding and health check answers. |
| Photo of the day | Photos, File Upload | Marks these as the photos of the day. |
Each form can have one question for feeding, one for medication, one for the health check and one for weight. The Daily stay log, Medication given, Health check, Stay set-up at check-in, Stay report card at check-out and Arrival condition check templates arrive with these already set.
A form with no question used for the health check still counts an answer of Requires attention on a question labelled Check.
Work a round
- Open Rounds & Tasks. The Rounds tab shows today. Use the arrows beside the date to move a day, and Today to come back.
- Each round is a card in time order, with how many pets are done, how many are still to fill, and how many need attention.
- Optional: in Round owner, type who is walking the round today. It saves when you move on.
- Select Fill on a pet, answer the form, and save. Mark all good fills every answer with its best option, for you to change any that are not.
Pets are listed by room in the order of your resources list, with pets that have no room last, and by name within each room. To list them by team member instead, open Group by and choose Team Member. With the grouping switched off, pets with a room come first and pets with no room last, each by name.
To fill a whole round on a phone, select Start round. The form for the first pet opens, and each save opens the next pet still to fill in the same order. Close the form to stop.
A pet already filled in shows a tick and its feeding, health check and highlight answers. To change an answer, select Correct. The original is kept, and the new answers replace it.
When the booking has Internal Notes, the row shows the notes icon with how many. Select it to open the booking.
What Carried forward and Corrected mean
Your team sees where each answer came from. The client never sees these markers.
| Marker | Where it shows | What it means |
|---|---|---|
| Carried forward | The round row, the Rounds & reports card and the Stay summary card | The form was saved from Copy from or Mark all good with nothing typed. Nobody wrote down a fresh answer. |
| Corrected | The round row and the Stay summary card | Someone changed an answer after it was saved. |
| Prefilled | Beside an answer when you select View | The answer was already there when the form opened, such as the current time, and was saved as it was. |
| Copied | Beside an answer when you select View | The answer came from Copy from and was saved as it was. |
| Marked all good | Beside an answer when you select View | The answer came from Mark all good and was saved as it was. |
An answer your team typed or changed has no marker. A carried forward feeding answer never counts as eaten, so the Not eaten hours keep counting through it.
When a form was corrected, View shows Corrected by, the team member and the time, then each answer that changed, from the old answer to the new one. The newest correction is first.
Tasks
The Tasks tab lists the day's tasks for every booking. Tasks come from three places:
- Extras on a stay. An extra becomes tasks by how it is delivered (see below).
- Task rules on the Set-up tab: a bath on the day they go home, a weigh-in on the day they go home, and a health check during long stays.
- Tasks your team adds, such as "Call the owner about appetite".
Tasks from extras and rules are listed first, then tasks added by hand. Choose By round or By team member to group them, and Mine to see only the tasks assigned to you.
On each task:
- Select Done when it is done, or Skip and give a reason. Undo puts it back.
- Select Claim to take an unassigned task yourself for that day, or Assign to choose who does it that day. On a stay's Tasks card, a task due every day can also be assigned for Every day. A day already given its own team member keeps them.
- Select the arrow to read the task's instructions.
To mark several tasks done at once, tick them and select Mark done.
To add a task, select Add task, choose the pet, and give it a name. Choose Once, or Every day of the stay, and optionally a round, a time and who does it. Only a task added by hand can be deleted, and deleting it also deletes what was ticked or skipped on it. A task from an extra or a rule goes when the extra is removed from the booking, the stay is shortened or the rule is changed. If your team already ticked or skipped it, it stays on the list marked No longer on the booking.
How an extra becomes tasks
- Open the extra from Services and choose the Duration & Timing tab.
- Under Delivered as, choose Once per stay, Once per day, or A number of times per stay. A number of times is spread evenly across the days of the stay.
- Optional: under What the team does, list each thing in a pack, such as Nature walk and Kong treat. Each one becomes its own task.
- Choose the Kind of task, then select Save.
An extra with no setting is one task per stay.
Task rules
The three task rules are off until you enter a number of nights on the Set-up tab, under Alerts and task rules:
- Bath on the day they go home, for stays of at least a number of nights
- Weigh on the day they go home, for stays of at least a number of nights
- Health check during stays of at least a number of nights, every so many days set in Health check every
A stay service can set its own number of nights for the bath. Open the service, choose the Duration & Timing tab, and enter it under Rounds & Tasks. It applies only while the bath rule is on.
What the alerts mean
| Alert | When it shows |
|---|---|
| Needs attention | A health check answer on the day is Requires attention |
| Not eaten 30h | The pet's feeding answers have been not eaten for at least the warning, 24 hours unless you change it |
| Not eaten 80h · Call the owner | The run has passed the second threshold, 72 hours unless you change it |
| Dose missed | A medication form is an hour past its round with nothing recorded, or the answer was a missed dose |
Change the hours under Alerts and task rules on the Set-up tab. The alerts are for your team. Petboost never messages the owner because of one.
The alerts show on the Rounds tab, on the booking's Rounds & reports card, on the run sheet and stay cards on Mission Control, and as Pets not eating and Doses missed tiles in Attention Required.
Print the pen sheet
- On the Rounds tab, choose the day.
- Select Pen sheet.
The PDF has one page per round, with every pet by room and boxes to tick for Ate, Poo and Meds given, and space for initials and notes. A pet already filled in shows its answers instead of empty boxes.
The stay summary
When a stay is checked out, Petboost puts one stay summary on the client's booking. It has the team form answers the client can see, day by day, photos, the weight on arrival and on the day they go home, and the extras delivered. It never shows a price. A stay with no answer the client can see has no summary.
The summary is published once, at check-out. Petboost does not send a message about it.
On the stay's appointment, the Stay summary card shows every report on the stay, each marked Customer-facing or Internal, with Publishes at check-out before check-out and Published with the date after. Internal reports and Business Only answers stay with your team.
To stop publishing stay summaries:
- Open Rounds & Tasks and choose the Set-up tab.
- Under Stay summary, switch off Share a stay summary at check-out.
- Select Save rounds.
Rounds & Tasks on Mission Control and the booking
- On Mission Control, the Rounds card beside the stays lists the day's rounds with how many are done. Select Open round to go to them.
- On a stay, the team forms card is called Rounds & reports, and the Tasks card below it lists the stay's tasks by day, with Add task. The Stay summary card follows.
See Team Forms to create the forms your team fills on a round.
