A membership plan is the product you sell: its price, its billing cycle and the benefits members receive. You can create as many plans as you need for different customers. Benefits apply to services you pick, so set up your services before you build a plan.
Memberships in the sidebar opens Members. Your plans are under Plans.
Choose how your plan handles multiple pets
Before you build anything, decide which of these three shapes fits the plan. Most businesses need only the first.
| Shape | What it is | Use it when |
|---|---|---|
| One price for all their pets | One price covers every pet on the owner's account | The default. Simplest to sell and simplest for pet owners to understand |
| Extra pets cost more | One set of inclusions, extra pets add to the bill | Benefits are unlimited, uncapped discounts, or household-level (for example one home visit per week regardless of dog count) |
| Only for households with 2+ pets | Separate plans per number of pets (a 1-dog plan and a 2-dog plan), each with its own inclusions | Each dog should get its own inclusions, for example 2 walks a week each. On each 2+ plan set Minimum pets, so only households with that many pets can join. Build the ladder with a group of plans or Make the 2-dog version |
Tip
If both dogs come in on the same day, do you charge for the second one? If yes, the surcharge fits. If no, the inclusions need to scale with pets, so build a household tier.
Create a plan
The builder has six steps: Details, Benefits, Pets & Households, Cancellation & Pausing, Terms & Conditions and Review & Publish. Nothing is published until the last one.
- Open Memberships, switch to Plans and select Create plan.
- Under What are you creating?, choose A single plan, or A group of plans for a tier ladder.
- On Details, enter the Plan name and the Price, and choose the Billing cycle.
- Choose an answer under When do they pay and refresh?.
- Optional: add a Description (optional), a Plan Category (optional) and a Showcase image (optional), and switch on Member limit.
- Select Next. On Benefits, add at least one benefit, as in Add benefits.
- On Pets & Households, answer A member has two dogs. What should happen? See Pricing for multi-pet households.
- On Cancellation & Pausing, set the commitment, pausing and purchase settings.
- Select Create draft plan (it reads Next once you have saved a draft). The plan is saved as a draft and Terms & Conditions writes terms for you from the plan.
- Read the terms. To change them, select Edit, make your changes and select Save changes.
- Tick I have reviewed these terms, then select Next.
- On Review & Publish, check the previews and the summary, then select Create & publish.
- In Publish this plan?, select Yes, publish.
If Allow self-service purchase is off on Cancellation & Pausing, the last button reads Create & keep hidden, the confirmation asks Create as hidden? with Yes, create hidden, and only your team can enrol members. Save draft on any step, or Save as draft on the last one, keeps the plan unpublished; publish it later with Publish plan, as in Publish a draft plan.
Once published, customers can see and join the plan on your booking page if self-service purchase is on, and your team can enrol members at any time with Enrol New Member.
If you go back and change the plan after the terms were written, they are rewritten when you return to Terms & Conditions. If you edited them by hand, your edits are kept and the step offers Regenerate.
A group of plans asks What do the plans vary by?: What is included, such as Bronze, Silver and Gold, or Number of pets, such as 1 Dog, 2 Dogs and 3 Dogs. It creates every plan in the group as a draft for you to review.
Tip
Name the plan for what it holds, and keep the name short enough to read on a phone. "Groom Club - Monthly" is clearer than "Plan A" or "Tier 1". Start with one plan and add tiers as demand shows; three or four tiers with clear differences are easier to choose between than more.
What goes on Details
- Plan name: the name customers see, such as "Groom Club", "Daycare Pass" or "Premium Membership"
- Description (optional): a short description shown to customers on your booking page
- Plan Category (optional): groups similar plans on the memberships list. Choose a category, or select New to create one. See Create a membership category
- Showcase image (optional): 4:3 works best. With no image, the plan uses your brand colour
- Price: the amount charged each billing cycle, in your local currency
- Billing cycle: Weekly (7 days), Fortnightly (14 days) or Monthly (28 days)
- When do they pay and refresh?: On their start date (the default), Fixed day of week, or Fixed benefit week, billed from their start date
- Member limit: off, it reads Unlimited. Switch it on and set how many members the plan takes
Once the Member limit is reached, the plan shows Plan full on your booking page and nobody new can join, from the booking page or from Enrol New Member. Existing members stay. If you set the limit below the number already on the plan, those members stay, and nobody new can join until some leave.
Changing the pay and refresh day later only affects new members. Existing members keep their current billing and refresh day.
What goes on Cancellation & Pausing
| Setting | What it sets |
|---|---|
| Minimum commitment | A set number of billing cycles before a member can leave without a penalty: Minimum billing periods, and under If a member cancels early, Cancel immediately (benefits end) or Cancel at end of current cycle |
| When a membership ends | What happens to upcoming member-priced bookings: Return future bookings to standard pricing or Honour the member price already booked |
| Allow pausing | Max days per pause, at least one billing cycle, and Max pauses per year, counted over the last 365 days. Pausing adds to the minimum period and Members can self-service pause switch on under it |
| Allow self-service purchase | Off, only your team can enrol members. On, pet owners can join from your booking page |
For pausing and cancelling a member, see Managing Members.
Choosing between the pay and refresh models
Pick On their start date unless you plan your week around one shared refresh day.
- On their start date suits businesses whose members join year-round and visit on their own schedule. Each member bills and refreshes from the start date they pick, which defaults to today. If they pay now and start later, the week follows the start date, not the day they paid. Nobody waits to start, and each member runs on their own week.
- Fixed day of week puts billing and refreshes on one weekday for everyone, and renewals and capped benefit counters share that day. Someone joining mid-week can start today and pay the full week, start today and pay only for the days until that weekday if Pro-rate the first week is on, or wait for the weekday and pay nothing before then.
- Fixed benefit week, billed from their start date keeps a shared week for counting included uses (for example Monday to Sunday) while each member pays from their own start date, so nobody waits to join. A mid-week joiner's first part-week grants the full allowance for the days remaining, and because billing runs from their own start date, their first payment covers a full cycle rather than a part-week. Every capped benefit on the plan must refresh weekly.
On the first two models, pay day and refresh day travel together. The third model splits them: each member has a pay day of their own and shares the refresh day with everyone else. The member detail and benefit calendar show both days separately.
Add benefits
A benefit is what a member gets when they book. The builder's Benefits step and a saved plan's Benefits tab use the same editor; on a new plan, start at step 3.
- Open Memberships, switch to Plans and select the plan.
- Choose Benefits.
- Select Add benefit.
- Enter the Benefit name.
- Under How does this benefit work?, choose Included sessions, Member discount (%) or Member discount ($).
- For a discount, enter the Member discount.
- To choose the services, limit uses or price extra bookings, turn on Show advanced options.
- Under Applies to, choose All services or Specific services, then pick the services.
- Under How often can members use this?, choose Unlimited or Limited. For Limited, set how many sessions per period and the Allowance length.
- Optional: for a limited Included sessions benefit, switch on Offer a discount on extra bookings and set Discount on extras.
- On a saved plan, select Publish Changes, tick the box in Before You Publish, then select Publish Changes. On a new plan, select Next.
Included sessions cost the member nothing extra, for example "2 full grooms per month" or "Unlimited daycare visits". Member discount (%) takes a percentage off each booking, such as 20% off all nail trims, and Member discount ($) takes a fixed amount off each booking. A discount benefit has its own limit under How often can members use this discount?: Unlimited, or Limited with a number of Discounted uses per Allowance length, for example 1 discounted groom per month.
Allowance length is how long the quantity lasts before it refreshes: Weekly (7 days), Fortnightly (14 days), Monthly (28 days) or per billing cycle. It is the length, not the weekday. The weekday comes from the plan: each member's start date, the fixed day of week, or the fixed benefit week's day. A fixed benefit week only allows a weekly allowance.
When a limited benefit covers two or more services, How are sessions counted? chooses Shared across services, one total limit across the selected services, or Set per service, a separate limit for each.
Specific services lets you pick services one by one, or all the services in a category at once with Quick Add by Category. All services covers every service, including ones you add later.
Trap
Quick Add by Category ticks the services in that category today. A service you add to the category later is not covered until you add it to the benefit.
Trap
An Included sessions benefit left on All services makes every bookable service free on the plan. The editor warns Applies to every service; pick specific services unless that is what you want.
Two benefits can cover the same service only when one includes it and the other discounts it. Two of the same kind on one service stop the builder with Two benefits cover the same service. A benefit that covers an overnight stay service is always an unlimited percentage discount.
Extra bookings over the limit
For a limited Included sessions benefit, you choose what a booking past the allowance costs:
- Full price: the default. Extra bookings are allowed at the standard service price. Leave Offer a discount on extra bookings off to keep this
- Discounted: switch on Offer a discount on extra bookings and choose Percentage (%) or Fixed amount ($) under Discount on extras. A fixed amount is never worth more than the service itself, so at most it makes the booking free, and the editor warns Some extras become free when a service costs that much or less. Cap extra bookings limits how many discounted extras a member gets each period
There is no setting that blocks extra bookings. If you need members to wait for the next period, leave the discount off so extras are full price and ask your team not to book extras under the membership, or set a tighter limit.
Tip
Start with one or two benefits, and include at least one that brings members back regularly. Make the saving obvious, and use a discount on extras rather than full price when you want more visits.
Example: a grooming plan
A typical grooming membership, Groom Club, at $89 with a Billing cycle of Monthly (28 days), could carry three benefits:
| Benefit | How does this benefit work? | Applies to | Limit |
|---|---|---|---|
| Monthly Groom | Included sessions | Full groom, all sizes | 1 per month, extras 15% off |
| Nail Trim Discount | Member discount (%), 50% | The nail trim services | Unlimited |
| Add-On Discount | Member discount (%), 10% | The add-on services | Unlimited |
Publish a draft plan
A plan saved as a draft stays hidden until you publish it, and it cannot be published until its terms are acknowledged.
- Open Memberships, switch to Plans and select the plan.
- If the plan shows Terms not acknowledged, choose Terms, read them and select Acknowledge Terms.
- Select Publish plan.
On a narrow screen, Publish plan sits under Share links & plan details, and in the plan's actions menu beside its name.
Check the plan card customers see
Preview plan cards shows the plan the way your booking page and your purchase link show it.
- Open Memberships, switch to Plans and select the plan.
- Select Preview plan cards.
Plan card is the same card as the membership showcase page and the booking purchase dialog. Membership card, under it, is the card a member sees in the Petboost app after they join, shown with a sample name and pets.
Change a published plan
A published plan can still be edited. What an edit reaches depends on what you change.
- Open Memberships, switch to Plans and select the plan.
- Choose Details, Benefits, Cancellation & Pausing or Terms. On a section, Jump to moves between them.
- Make the change. It waits in Pending Changes at the foot of the page.
- Select Publish Changes, tick the box in Before You Publish, then select Publish Changes.
When the plan has active members, Before You Publish counts them and says what the change means for them. Discard Changes drops everything still pending.
What a change reaches
Each member's membership is an agreement: they keep the price and cycle they joined on.
| What you change | Who it reaches |
|---|---|
| Plan name and description | Everyone, straight away |
| Benefits, including the discount on extra bookings | A new benefit and any discount change apply to current members now. A changed limit starts when their benefits next refresh, and until then they keep what they have left |
| Price, Each extra pet adds and Billing Cycle | People who join after you publish. Current members keep the price and cycle they joined on |
| Minimum commitment | People who join after you publish. Current members keep the commitment they agreed to |
| Pausing rules | Current members, straight away |
| When a membership ends | Everyone from now, current members included |
| How pets are covered, Minimum pets and Member limit | Checked when someone joins. Current memberships are untouched |
Weekly, fortnightly and monthly versions on one card are separate plans. Editing the weekly price does not change the fortnightly or monthly plan.
You do not need Clone this plan just to charge new members more. Edit the price on the same plan and publish the change. Clone only if you want both the old and the new price available to choose from at the same time. Cloning does not move anyone: each member stays on their current agreement until you cancel that membership and Reactivate it on the same plan, or enrol them with Enrol New Member on a different one. See Move a member onto a different price or plan.
Regenerate the terms
After you change the benefits, the price, the policies or When do they pay and refresh?, regenerate the terms so the document a member agrees to matches what you sell. Regenerating reads what is on the plan and rewrites the terms from it.
- Open Memberships, switch to Plans and select the plan.
- Choose Terms.
- Select Regenerate.
- If the terms show as not acknowledged, read them and select Acknowledge Terms.
When you change When do they pay and refresh? on a saved plan, Details shows Regenerate terms after saving. Publish the change first, then regenerate.
Change the order customers see
Reorder sets the order of plans on your booking page and showcase. Sort & Group only changes your own view of the list.
- Open Memberships and switch to Plans.
- Open the settings menu and select Reorder.
- Drag the plans into place.
- Select Done.
The same settings menu is on Services and Packages.
Create a membership category
Categories group similar plans on the memberships list. You can add one from Plans, or from Plan Category on a plan.
Add a category on the Plans list
- Open Memberships and switch to Plans.
- Open the Tools menu, the three dots beside Create plan, and select Manage categories.
- On Membership Categories, select Add Category.
- On Create Category, enter the Category Name.
- Optional: enter a Description (optional).
- Optional: add an Icon (optional) and an Image (optional), or select Use Default.
- Optional: pick a Badge Colour.
- Select Create Category.
To edit a category, select its edit button under Your Categories, make the change, then select Save Changes on Edit Category.
To delete a category:
- Open Memberships, switch to Plans, open the Tools menu and select Manage categories.
- Under Your Categories, select the category's delete button.
- On Delete Category, select Delete Category.
Plans using the category must be reassigned first.
Add a category from a plan
- Open Memberships, switch to Plans and select the plan, then choose Details. On a new plan, use the builder's Details step.
- Under Plan Category (the builder labels it Plan Category (optional)), choose a category, or select New.
- If you selected New, enter the Category Name on Name & Description in Create New Category.
- Optional: enter a Description (optional).
- Select Next.
- Optional: on Images & Colours, set the Icon (optional), the Image (optional) and the Primary Colour under Badge Colour.
- Select Next.
- On Review & Create, select Create Category.
- If you are editing a published plan, select Publish Changes, tick the box in Before You Publish, then select Publish Changes.
Hide or archive a plan
Hide a plan when you want pet owners to stop joining it themselves. Existing members keep billing and benefits, and your team can still enrol people with Enrol New Member.
- Open Memberships, switch to Plans and select the plan.
- Select Hide from pet owners.
Make visible to pet owners reverses it. On a narrow screen these buttons sit under Share links & plan details, and the plan's actions menu offers the same as Hide from portal and Show on portal. The Self-Service Purchase switch on Details does the same.
You cannot archive a plan while anyone is still on it (Active, Past Due, Paused, or a start that is already due). Cancel those memberships first, then use Delete or archive plan on the plan. Archiving hides the plan from the default Plans list. It does not cancel members, because you cannot archive until those memberships have already ended.
To restore an archived plan:
- Open Memberships and switch to Plans.
- Open Filters and turn on Include archived plans.
- Select the plan.
- Select Restore plan.
Pricing for multi-pet households
See Choose how your plan handles multiple pets first if you have not decided which of the three shapes fits.
The additional pet surcharge is billing only. Adding a pet does not add more included uses. All pets on the membership share the same allowance.
The plan builder asks which shape you want on the Pets & Households step, after you have set the benefits. On a plan you have already saved, the same choice is on the Details tab under Pets & Households. Three options:
- One price for all their pets (the default): every pet on the owner's account is covered, including pets added later. Nothing to choose at checkout
- Extra pets cost more: set Each extra pet adds. Members tick which pets are covered when they join, and each pet after the first adds that amount. The covered pets are fixed for the life of the membership. The step shows what two dogs pay and what they share, from the price and benefits you set. To also require a minimum, switch on Only for households with 2+ pets inside this option
- Only for households with 2+ pets: one price sized for a bigger household, restricted by Minimum pets. The number in the option's name follows it. This is the 2+ pet plan of a household ladder
What the surcharge does and does not do
The surcharge raises the price when a member covers more than one pet. It does not give each pet its own inclusions.
| Good fit | Poor fit |
|---|---|
| Unlimited benefits (e.g. unlimited daycare) | Capped inclusions each dog should get separately |
| Percentage or fixed discounts with no cap | "1 day care day / week" meant as one day per dog |
| Household-level inclusions (e.g. 1 home visit regardless of dog count) | Any plan where both dogs using it the same day should both be included |
| Recovering capacity cost for multi-dog households |
If both dogs come in on the same day and you would not charge for the second one, the inclusions need to scale with pets, so build a bigger tier instead of using the surcharge.
Give each dog its own inclusions
An owner can hold only one active membership per business, so create a plan tier sized for the household rather than a second subscription.
Example: base plan $60/week with 1 daycare day, and you would have charged a $45 surcharge for a second dog. Create a two-dog tier at about $105/week with inclusions doubled (2 daycare days/week). To build the whole ladder in one pass, choose A group of plans and set What do the plans vary by? to Number of pets: every plan you add after the one-dog plan copies it with the price and included amounts multiplied by its pet count, and its Minimum pets already set.
Restrict a tier to households of that size
Under Pets & Households (the builder step, or the saved plan's Details tab), choose Only for households with 2+ pets and set Minimum pets, at least 2. Only owner accounts with at least that many active pets can join. Owners with fewer pets see the plan with a 2+ pets badge and a button that reads Needs 2+ pets, and staff cannot enrol that account until a pet is added. The check runs when the membership is created; archiving a pet later does not affect a live membership. Keep the pet count in the plan name as well so staff read it at a glance.
To build the two-dog copy in one step, open the one-dog plan and choose Make the 2-dog version, on the plan's page or under Pets & Households on its Details tab. It is offered on plans without Minimum pets set. It opens the plan builder prefilled as a "(2 Dogs)" copy with Minimum pets 2, one price covering every pet, the included quantities doubled and the price prefilled at the base plus the surcharge, or double the base when the plan has no surcharge. Discount the price to what you want to charge, save it as a draft, then publish.
