Timeline & Notes

The Timeline & Notes tab on a pet's profile gathers the notes, photos and attachments from its visits into one feed, grouped by date. Grooming businesses also keep standing care instructions with photos on the Care & Grooming Templates tab.

The timeline answers "what happened last time" without opening an appointment. Notes from cancelled or refunded appointments are left out. For grooming businesses, the Grooming Templates card holds care instructions with photos that carry forward to every future appointment.

What the timeline shows

The feed merges, by date:

  • Notes typed on the pet with New Note, and notes on its owner
  • Notes left on the pet's appointments: the Business Note the customer can see, the staff-only Private Note, the Customer Note the pet owner wrote, and the grooming layout notes Head & Face, Body & Tail and Feet & Legs
  • The summary a finished groom writes
  • Photos from the pet's appointments
  • Changes made to the pet's and owner's records

Find something on the timeline

  1. Open Customers & Pets and select Manage on the pet.
  2. Open the Timeline & Notes tab.
  3. Choose a filter: All, Notes, Appointments, Photos or Changes.
  4. Optional: type in Search notes, appointments, team members…, or narrow the dates under Filter by date range.

On a phone the filters show as icons only. Select the star on a photo to mark it as a favourite; the star beside the filters then shows your favourites only. Favourites are saved in that browser.

Attach a PDF to a note

To store a PDF on a pet, such as its veterinary history, attach it to a note.

  1. Open Customers & Pets and select Manage on the pet.
  2. Open the Timeline & Notes tab and select New Note.
  3. Write the note.
  4. Under Attachments, drop the PDF on the dashed upload box, or select Click to upload.
  5. Select Post.

The first page of the PDF shows as a thumbnail on the note. Select the thumbnail to open the PDF.

Save grooming templates

For grooming businesses, a Care & Grooming Templates tab appears on pet profiles. Its Grooming Templates card stores ongoing care instructions, which the pet owner can see and which stay with the pet across appointments.

  1. Open Customers & Pets and select Manage on the pet.
  2. Open the Care & Grooming Templates tab and choose Preferences.
  3. Under Grooming Templates, write the instructions on Head and Face, Body and Tail or Feet and Legs.
  4. Optional: add reference images or PDFs under Photos & Attachments.
  5. Select Save & Publish, or Discard Changes to undo your edits. Both appear once you edit a card.

Each card carries a Visible to Pet Owner badge, because the pet owner can read these notes. The uploader takes JPEG, PNG, GIF, WebP, HEIC or HEIF images and PDFs, up to 10 MB each.

The tab appears when your business signed up with pet grooming as a service category, or has at least one service in the grooming category.

How notes connect to appointments

Grooming templates and appointment notes do different jobs:

Appointment notes appear in the feed on the Timeline & Notes tab. Grooming templates sit on the Care & Grooming Templates tab and are there from any future appointment for that pet.
