How to Integrate with Accounting Software (What Petboost Doesn't Do)

Petboost does not connect directly to Xero, QuickBooks or MYOB. Card payments reach your accounting software through Stripe Bank Feeds, and a statement for your accountant downloads from Billing.

Customers ask how to connect Petboost to Xero or QuickBooks. There is no direct integration. Connect your accounting software to Stripe with Stripe Bank Feeds instead, and download a statement from Petboost when your accountant needs one.

What you're trying to do

You want your Petboost payment data to flow into your accounting software automatically, for:

  • Invoice recording in Xero or QuickBooks
  • Revenue tracking as it happens
  • BAS reporting and tax calculations
  • Profit and loss statements
  • Reconciliation between bookings and accounting
  • GST tracking and reporting

What Petboost does offer

A pre-authorisation hold, which you can switch on under Pricing & Payments, reserves the booking total on the customer's saved card before the visit. It is a hold, not a separate way to pay.

Reporting & Intelligence is a look at the year's sales. The statement from Billing is the document for your accountant. See Payments Settings.

Download a statement for your accountant

Do this at the end of the financial year, or whenever your accountant asks for figures.

  1. Open Billing, then Invoices & Payment.
  2. Switch the view to EOFY, or to Monthly or Quarterly for a shorter period.
  3. Select the financial year to expand it.
  4. Select the Download button that ends in Statement. It names the period, for example FY2026 for July 2025 to June 2026.

The statement is a PDF of your Petboost charges for the period, with your card sales and the Stripe and Petboost fees taken from them. Petboost is not accounting software: the statement covers card payments taken through Petboost, so cash, bank transfers and payments on another machine are not in it. Open the Xero set-up guide from Petboost

Pricing & Payments has a card that links straight to the Stripe Bank Feeds set-up.

  1. Open Pricing & Payments.
  2. If Accounting Integration is not showing, switch on Advanced options.
  3. Under Accounting Integration, select Set Up Stripe Bank Feeds to open Xero's guide, or Get Started with Xero to sign up for Xero.

What Petboost doesn't offer

Petboost does not include:

  • Direct Xero API integration
  • Direct QuickBooks sync
  • Direct MYOB connection
  • Automatic invoice pushing to accounting software
  • Real-time financial data sync with accounting platforms
  • Two-way sync, from your accounting software back to Petboost

Xero and QuickBooks are built for accounting: chart of accounts management, tax calculations, BAS reporting, profit and loss statements, GST compliance, payroll and multi-entity reporting. Petboost does not rebuild them. Stripe already connects to both through Stripe Bank Feeds, and you manage that connection yourself.

Connect your accounting software to Stripe with Stripe Bank Feeds. Every option below starts from the card payments Petboost takes through Stripe.

Option 1: Stripe Bank Feeds to Xero

This suits most Australian businesses. Stripe sends its transactions to Xero through a bank feed each day, and in Xero you reconcile them, track GST, categorise transactions and match deposits. Xero costs from $32 AUD a month (Starter plan) to $78 AUD a month (Premium).

To set it up, in Xero:

  1. Go to Accounting, then Bank accounts.
  2. Select Add Bank Account.
  3. Search for Stripe, which is listed as a direct bank feed.
  4. Follow the prompts to connect your Stripe account, and authorise Xero to read your Stripe transactions.

From then on, card payments taken in Petboost go to Stripe, Stripe sends the transactions to Xero each day, you match deposits to invoices in Xero, and Xero handles GST, BAS and tax reporting. See Xero: Set up Stripe direct feeds or xero.com.

Trap

Stripe Bank Feeds only include card payments processed through Stripe. Cash and bank transfer payments recorded in Petboost are not pushed to Xero, and you reconcile them by hand.

A dog daycare uses Petboost for all its bookings, $15K a month in revenue, and Stripe processes the payments. Each morning, the previous day's transactions appear in Xero through the bank feed. Their bookkeeper spends 30 minutes a week matching Stripe deposits to Xero revenue accounts, and at the end of the quarter the BAS report comes out of Xero in 5 minutes.

Option 2: Stripe Bank Feeds to QuickBooks Online

This works like the Xero bank feed: transactions sync from Stripe, and QuickBooks gives you bank reconciliation, GST and tax tracking and financial reporting. QuickBooks Online costs from $25 AUD a month (Simple Start) to $100 AUD a month (Advanced). It suits businesses already familiar with QuickBooks, or that prefer its interface to Xero's.

To set it up, in QuickBooks:

  1. Go to Banking, then Add Account.
  2. Search for Stripe.
  3. Connect and authorise your Stripe account.
  4. Confirm the transaction sync settings.

Each day, reconcile the transactions in QuickBooks, categorise them into revenue accounts and run reports as you need them. See quickbooks.intuit.com.

Trap

As with Xero, only Stripe card transactions are included. Cash and bank transfer payments must be reconciled by hand.

Option 3: Export a CSV from Stripe

This is the free alternative, if you do not want an accounting software subscription. It suits very small businesses, under 50 transactions a month, and takes about 2 to 4 hours a month depending on volume.

  1. Log in to the Stripe Dashboard.
  2. Go to Payments, then Export.
  3. Select the date range, such as last month.
  4. Download the CSV.
  5. Open it in Excel or Google Sheets and categorise the transactions.
  6. Import it into Xero or QuickBooks, or enter it into your accounting software by hand.

The limits: it is manual and takes time, data entry errors are more likely, you have no real-time view of your finances, and BAS and tax reporting are harder.

Option 4: Your accountant or bookkeeper runs it

If you have bookkeeping support, give your accountant or bookkeeper access to your Stripe account. They set up the Stripe connection to Xero or QuickBooks, handle the monthly reconciliation, and prepare your BAS, financial reports and tax returns, so it takes none of your time. Bookkeeping services typically cost $150 to $400 AUD a month, depending on transaction volume. This suits businesses with complex finances, or owners who prefer to outsource accounting.

A grooming business with $20K a month in revenue pays its bookkeeper $250 a month. The bookkeeper has Stripe and Xero access, reconciles everything monthly and prepares the BAS each quarter, and the owner focuses on grooming rather than accounting.

Real-world examples

Example 1: Solo mobile groomer, Xero Starter and Stripe feeds

They needed simple accounting for BAS reporting and tax time. They use Petboost for bookings and payments, Stripe for payment processing, Xero Starter at $32 AUD a month, and Stripe Bank Feeds.

  1. In Xero, they added Stripe as a bank feed, a 10-minute set-up.
  2. Stripe transactions from Petboost appear in Xero each day.
  3. They reconcile weekly, in 15 minutes.
  4. They run the quarterly BAS from Xero.

They spend under an hour a week on accounting, and BAS and tax time are straightforward, for $32 AUD a month for Xero.

Example 2: Mid-size daycare, QuickBooks Online and a bookkeeper

They needed professional financial reporting, payroll integration and multi-entity management. They use Petboost for operations, Stripe for payments, QuickBooks Online Essentials at $65 AUD a month, and a bookkeeper at $300 AUD a month.

  1. The bookkeeper set up the Stripe connection to QuickBooks.
  2. The bookkeeper reconciles monthly.
  3. Payroll runs through the QuickBooks Payroll add-on.
  4. Monthly profit and loss and cash flow reports come out of QuickBooks.

The bookkeeper handles all the accounting and the owner focuses on the business, for $365 AUD a month for QuickBooks and the bookkeeper.

Example 3: Small training business, a CSV export each month

They needed minimal accounting for tax, with under 30 transactions a month. They use Petboost for bookings, Stripe for payments, and a spreadsheet.

  1. Each month, they export the Stripe transactions to a CSV.
  2. They import it into Google Sheets.
  3. They categorise revenue by training type.
  4. They track expenses separately.
  5. They send it to their accountant each quarter for the BAS.

There is no software cost beyond Petboost. It takes 2 hours a month and suits a side business or a very small operation.

Frequently asked questions

Will Petboost add a direct Xero or QuickBooks integration?

A direct integration is not in the product, and there is no confirmed date for one. Stripe Bank Feeds already connect Stripe to Xero and QuickBooks, and you manage that connection yourself.

Can I use MYOB instead of Xero or QuickBooks?

Yes. MYOB also supports bank feed connections, so check that Stripe Bank Feeds work with your MYOB version. The process is the same: connect Stripe to your MYOB bank feeds, the transactions sync daily, and you reconcile them in MYOB.

How long does reconciliation take each month?

For most pet businesses:

  • Under 50 transactions a month: 15 to 30 minutes
  • 50 to 200 transactions a month: 30 to 60 minutes
  • Over 200 transactions a month: 1 to 2 hours, or hire a bookkeeper

What if I take cash and bank transfer payments, not Stripe?

Petboost does not push cash or bank transfer payments to Xero, QuickBooks or any other accounting software. Stripe Bank Feeds only include card transactions processed through Stripe, so record cash and bank transfer payments as journal entries in your accounting software.

Tip

Include cash and bank transfer payments in your weekly reconciliation, so nothing is missed.

Do I need an accountant if I use Xero or QuickBooks?

Not for day-to-day work, but an accountant is strongly recommended for:

  • Initial set-up and the chart of accounts
  • BAS preparation and lodgement each quarter
  • Annual tax returns
  • Financial strategy and planning

Most pet business owners use Xero or QuickBooks themselves each day and see an accountant each quarter or year.

To go ahead with QuickBooks Online (Option 2):

  1. Sign up for QuickBooks at quickbooks.intuit.com, which has a 30-day free trial.
  2. Connect Stripe to QuickBooks.
  3. Complete the initial set-up, including the chart of accounts.
  4. Learn the basics of bank reconciliation.
  5. Consider QuickBooks training or an accountant.

To use an accountant or bookkeeper (Option 4):

  1. Find a local bookkeeper who has worked with pet businesses.
  2. Give them access to Stripe and to Xero or QuickBooks.
  3. Agree a monthly fee and the scope of work.
  4. Let them handle the set-up and the ongoing reconciliation.
