Get set up

Terms and waivers: upload them, collect them, prove who signed

An agreement is stored on the client's account against the exact document they read, which is why replacing that document asks everybody again.

Insurers ask for proof that every client agreed to your terms, and a drawer of signed paper is not it. Petboost stores each agreement on the client's account with the date and the exact document they read.

Upload the PDF, and the asking looks after itself

  1. Open Policies & Paperwork in Settings.
  2. Under Client agreements, select Upload Terms & Conditions, or Upload Waiver Document for the waiver.
  3. Add the PDF in the dialog that opens.
  4. Select Publish Changes, tick the box in Before You Publish, then select Publish Changes.

Terms & Conditions Document and Waiver Document take one PDF each, and a client booking online is asked to accept whatever is sitting there at that moment. There is no per-service switch to find and no message to send. The tab sits behind Cancellation & Change Policies, so it is on Pro and above; on Lite you get an upgrade panel where the cards would be.

Trap

A booking you take for a client never reaches their review step, so nothing is collected. Mission Control gathers those under Terms Not Agreed and puts Send SMS request on each one.

Find the ones who have not signed

  1. Open Customers & Pets, open the gear menu and select Smart Export.
  2. Under What do you want to export?, choose Customers, then select Next.
  3. Under Quick Segments, select Business T&C Not Agreed, then select Next.
  4. Leave Business T&C Agreed switched on under Columns to include, then select Download CSV, which counts the rows.

Business T&C Not Agreed is your list, and the count beside it is the size of the gap. Business T&C Agreed writes one of three values against every row of the CSV.

That segment holds both No and Unknown, so read it as not proven rather than refused.

Replace the document and everybody is asked again

  1. Open Policies & Paperwork in Settings.
  2. Under Client agreements, select Replace Document on the file you are changing.
  3. Add the new PDF in the dialog that opens.
  4. Select Publish Changes, tick the box in Before You Publish, then select Publish Changes.

The acceptance is stored against the file the client actually read, so Replace Document turns the green Previously agreed line back into a tick box on their next booking. Nobody is emailed and nothing is reset by hand; the ones who have not caught up show in the same segment as before. Where you need a typed name rather than a tick, build the waiver as a form in Fields & Forms instead: an Info Block carries the wording and a Signature field sits under it.
