Bookings and the calendar

A daycare day and a groom, in one visit

Two services on one pet card is one booking. Two cards is two bookings for the same dog on the same day, and that is where the double charge and the missing yard place come from.

A dog comes in for the day and goes on the table at eleven. That is one visit with two services on it, and building it any other way costs you a yard place and confuses the invoice.

Both services go on the one card

The booking form gives you one card per pet, and that card holds everything that dog is having.

  1. Open Appointments, select New, then Appointment.
  2. Beside the date at the top of the form, switch off Magic Availability Check.
  3. Choose the dog, then under Services for, which names the dog, pick the daycare day and the groom.
  4. On each service, set Start Time and End Time, then its Team Member and Resources where the service asks for them.
  5. Answer Notify customer?, then select Create Appointment.

Full Day Daycare and Full Groom are both picked above, on Kiwi's card. The add-on underneath can go on the same card, because the card is the pet rather than the service.

Add Sibling is for the second dog in the household, not for the second service on this one. Pressing it here would give you two cards, two bookings and two arrivals for a dog that is only coming once.

Trap

Two bookings for the same dog on the same day is also how a floor loses a place. Each booking takes its own place in the yard, so a dog booked twice is counted twice.

Each service brings its own station

The day needs a yard and the groom needs a table, and each service says so for itself.

  1. Open Services, then Manage on the daycare service and Manage Service.
  2. On Team & Resources, under How should resources work for this service?, choose Required.
  3. Under Eligible Resources, pick the yard.
  4. Select Publish Changes, tick the box in Before You Publish, then select Publish Changes.
  5. Repeat for the groom, with the table as its resource.

Required on the daycare service means the engine refuses a day when no yard place is free. Read the blue line, which is the product telling you before you save what the booking engine will do.

Check

Set the groom to Required against the table and the eleven o'clock slot stops being offered once the table is taken, even on a day the yard is half empty. That is the point: two services, two constraints, one visit.

Read it back off the calendar

  1. Open Appointments and select Group By in the toolbar.
  2. Choose Resources.

Group By decides what a column is. On Resources the same dog appears in the yard column all day and in the table column for its two hours, which is the shape of the visit rather than a duplicate.

Tip

Group by Categories when the floor and the grooming table are run by different people. The two columns then read as the two jobs rather than as one long list of everything happening at once.
